A. Information You Provide Directly
This is the core information we need to make your song. We collect this primarily through our Heartline Songsmith Intake Form. This includes:
- Contact Information: Your name, email address, and, if you select a physical product, your physical mailing address.
- Payment Information: Your payment card details and billing address, which are processed by our third-party payment processor. We do not store your full payment card details.
- Your Story (The “Raw Material”): This is the sensitive, personal information we use to write your song. This may include:
- Personal stories, memories, inside jokes, and anecdotes.
- Names of recipients, friends, family members, or co-workers.
- Personal details such as places, dates, nicknames, and specific events (e.g., wedding vows, office antics, road trips).
- Creative Preferences: Your choices for the song’s “Mood/Feel,” “Era,” “Genre Influences,” “Vocal Style,” and “Song Progression”.
B. Information We Collect Automatically
When you visit our Site, we may automatically collect standard technical information, such as your IP address, browser type, operating system, and cookie data. We use this to maintain and improve our Site and Services.
2. How We Use Your Information
Our primary use of your information is to create your song and deliver it to you. Specifically, we use it to:
- Fulfill Your Order: To transform Your Story and preferences into a custom song and, if selected, a “Premier Vid”.
- Collaborate With You: To create and send you the “Track Vision” document for your approval. This includes generating a narrative summary of the song’s vision and a draft verse and chorus.
- Communicate With You: To send you the “Track Vision” PDF, manage your feedback loop, provide customer support, and send order confirmations.
- Deliver Your Product: To provide your final song as a digital download, CD, cassette, or jump drive.
- Process Payments: To securely process your payment for our Services.
- Fulfill Optional Requests: If you choose, to release your song on streaming platforms.
3. How We Share Your Information
We do not sell your personal information. We only share it with third-party partners who are essential to creating and delivering your song.
A. Third-Party AI and Creative Tools
Our “artisan-driven” process uses advanced AI and creative tools to bring Your Story to life. This involves processing elements of Your Story with the following third-party services:
- AI Songwriting & Scripting: We use AI models to synthesize your Intake Form data, generate the narrative summary for your “Track Vision”, and draft the initial lyrics. We also use AI to generate the VJ introduction script for the “Premier Vid”.
- AI Video Generation (Veo 3): If you order a “Premier Vid,” we use your song’s mood, story elements, and final lyrics as prompts in Veo 3 to generate the cinematic opener and background lyric video visuals.
- AI Avatar Generation: The VJ’s narration for the “Premier Vid” is created using an AI Avatar system.
- Video Assembly (Google Vids): We use Google Vids to assemble the final “Premier Vid,” which includes the generated video clips, your song’s audio, on-screen lyrics, and story summary.
We share only the necessary data with these tools to generate your content.
B. Other Service Providers
- Payment Processors: To securely handle your payment.
- Shipping Carriers: To deliver physical products (CDs, cassettes, jump drives) to you.
C. Streaming Platforms
If you explicitly choose to “go big”, we will share your finished song and related metadata (like song title) with streaming services like Spotify and Apple Music for public release under our Rodeo Reverb Records label.
D. Legal Compliance
We may disclose your information if required by law, subpoena, or other legal process.
4. Your Rights and Choices
You have control over your personal information.
- Access and Correction: You can request a copy of the personal data we hold about you and ask to correct any inaccuracies.
- Feedback: For standard orders, you have one round of feedback on the “Track Vision” and draft lyrics before we move to final production.
- “SPEED+” Option: Please note that if you select the “SPEED+” delivery option, you bypass the “Track Vision” feedback and approval phase.
- Deletion: You may request that we delete your personal information. Please note that if you request deletion before your song is complete, we will be unable to fulfill your order. We may retain final audio/video files as part of our creative portfolio and for customer service, but we will delete your original Intake Form data upon request.
5. Data Security
We take the sensitivity of Your Story seriously. We use reasonable administrative, technical, and physical safeguards to protect your personal information from loss, theft, misuse, and unauthorized access.
6. Data Retention
We retain your personal information, including Your Story and Intake Form data, for as long as necessary to complete your project, handle any customer service inquiries, and comply with our legal obligations.
7. Children’s Privacy
Our Services are not directed to children under the age of 16, and we do not knowingly collect personal information from them.
8. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or by posting a notice on our Site prior to the change becoming effective.
